Privacy Policy

Securian Canada (“we”, “us”) are committed to protecting and respecting your privacy. This Privacy Notice sets out the basis on which the personal data collected from you, or that you provide to us, will be processed by us in connection with our recruitment processes.

 We use Pinpoint, an online software product provided by The Infuse Group Ltd (t/a Pinpoint Software), to assist with our recruitment process. We use Pinpoint to process personal information as a data processor on our behalf. Pinpoint is only entitled to process your personal data in accordance with our instructions.

 Where you apply for an opportunity posted by us, these Privacy Notice provisions will apply to our processing of your personal information, in addition to our other Privacy Notice which is available on our website.

Your Personal Information

Information we collect from you

We collect and process some or all of the following types of information from you:
  • Information that you provide when you apply for a role. This includes information provided through an online application, via email, in person at interviews and/or by any other method. 
  • In particular, we process personal details such as name, phone number, email address, address, date of birth, qualifications, experience, background information, preferences, and any information relating to your employment history, skills and experience that you provide to us. 
  • If you contact us, we may keep a record of that correspondence. 
  • Details of your visits to our careers website including, but not limited to, traffic data, location data and other communication data, the site that referred you to our careers website and the resources that you access. 
Information we collect from other sources

Pinpoint provides us with the facility to link the data you provide to us with other publicly available information about you that you have published on the Internet – this may include sources such as LinkedIn and other social media profiles. 

 Pinpoint’s technology enables us to search various databases, which may include your personal data, to find possible candidates to fill our job openings. Where we find you in this way, we may obtain your personal data from these sources.

Uses made of your information

Purposes of processing

We use information held about you in the following ways:
  • To consider your application in respect of a role for which you have applied. 
  • To consider your application in respect of other roles. 
  • To communicate with you in respect of the recruitment process. 
  • To enhance any information that we receive from you with information obtained from third party data providers. 
  • To find appropriate candidates to fill our job openings. 
  • To help Pinpoint improve their services. 
  • To conduct research and analysis.
  • To protect Securian Canada against online threats such as spam bots and malware.
  • To comply with legal and regulatory requirements.
  • If you have provided an express consent, or if we have an implied consent or an exemption under Canada’s Anti-Spam Legislation, and if you have not opted-out of receiving such communications, to send you automated emails, text messages, or other communications containing promotional messaging.
We may share, with third parties, aggregated, statistical, or anonymous information that does not identify you. We may also release information relating to you to regulatory or law enforcement authorities, if required to do so.

Automated decision making / profiling

We may leverage Pinpoint’s technology to help us select appropriate candidates for us to consider based on criteria we have identified. The process of finding suitable candidates is automatic, however, any decision as to who we will engage to fill the job opening will be made by our team members and not rely solely on automated decisions. 

How we store your personal data

Security

We take appropriate measures to ensure that all personal data is kept secure including security measures to prevent personal data from being accidentally lost, or used or accessed in any un-authorized way. We limit access to your personal data to those who have a genuine business need to view it. Those processing your information will do so only in an authorized manner and are subject to a duty of confidentiality.
 
 We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.
 
 While we use reasonable organizational, technical and administrative measures intended to protect personal information within our organization, unfortunately, no data transmission or storage system can be guaranteed to be 100% secure. Where we store your personal data

The data that we collect from you and process using Pinpoint’s Services will be transferred to and stored at one of several datacentre locations in Amsterdam (Netherlands) and may be synchronised to one of several datacentre locations in London (United Kingdom) for backup and redundancy purposes. By submitting your personal data, you agree to this transfer, storing or processing. 

How long we keep your personal data

We retain all candidate data for a period of 48 months from the time of application. Your personal information will be deleted on one of the following occurrences:
  • Deletion of your personal information by you via the Manage Your Data tool or 
  • Receipt of a request by you to us by telephoning 1-888-968-4155 or by mail at: Privacy Office, 25 Sheppard Avenue West, Suite 1400 Toronto, ON M2N 6S6. 
Your rights

You have the right to:
  • access to your personal data.
  • require us to correct any mistakes in your information which we hold.
  • request the erasure of personal data concerning you in certain situations.
  • object at any time to processing of personal data concerning you for direct marketing.
Quebec Residents

If you are a Quebec resident, you have the right, subject to certain exceptions detailed in Articles 37 through 40 of the Civil Code, Bill 64/Law 25, and other applicable laws and regulations, to:

·       withdraw consent for the processing of your Personal Information;
·       request access to your Personal Information, including information about specific pieces of Personal Information we have collected about you; 
·       request that a person carrying on an enterprise cease disseminating your Personal Information or to de-index any hyperlink attached to your name that provides access to the information by a technological means, if the dissemination of the information contravenes the law or a court order;
·       request deletion of your Personal Information; however, to the extent permitted by applicable law, we may be required to retain some of your Personal Information, and certain Personal Information is strictly necessary for us to fulfill the purposes described in this Policy;
·       if we maintain any inaccurate, incomplete, or equivocal information about you or if collecting, communicating, or keeping it are not authorized by law, request that the information be rectified; and
·       for sensitive Personal Information that we collect, request that we limit our use of your sensitive Personal Information to that use which is necessary to perform the services or provide the goods reasonably expected by an average consumer who requests such goods or services and as otherwise authorized under applicable laws.

Exercising Your Quebec Privacy Rights

If you are a resident of Quebec and would like to exercise these or other related rights you may have, you may do so in the following ways:

·       You may submit your request online by calling us toll-free at 1-888-968-4155 or by contacting us by mail at: Privacy Office, 25 Sheppard Avenue West, Suite 1400 Toronto, ON M2N 6S6.

You will not receive discriminatory treatment for exercising any privacy rights you may have under applicable law. In order to verify your request, you will need to provide your legal first and last name, email address you use to correspond with Securian Canada, your relationship with Securian Canada, and the province in which you currently reside. If you authorize an agent to make an access or deletion request on your behalf, please have the authorized agent call the toll-free number at 1-888-968-4155 because Securian Canada will need to verify the authorization before processing the request. The authorized agent will need to submit documentation evidencing your authorization of this agent to make the request and the authorized agent will need to verify their identity with Securian Canada.

This privacy policy may be changed by Securian Canada at any time. If we change our privacy policy in the future, we will set out those changes here, so that you will always know what personal information we gather, the purposes we might use it for and to whom we might disclose it.
